What we do with your details

Short version: we collect what we need to quote and carry out your move, we use it for that, and we do not sell it. The long version is below.

What we collect

Everything we hold about you, you gave us. There is no tracking on this website and no profile built in the background.

When you use the quote form

The form asks for where you are moving from and to, your preferred move date, the size of your home, your name, and a phone number or email address. It also records which page you submitted from, so we know whether you were reading about apartment moves or commercial moves when you asked.

The form includes one hidden field that people never see. Automated spam bots fill it in; humans do not. If it comes back filled, the submission is discarded. It collects nothing about you.

When you call or email

Whatever you tell us: addresses, access details, inventory, the fact that the piano is going but the wardrobe is not. We write down what we need to plan the job.

Automatically, by our hosting provider

Our web host keeps standard server logs — IP address, browser type, pages requested, timestamps. They exist to keep the site up and block abuse. We do not use them to identify visitors, and we do not combine them with quote submissions.

What we do not use

This is worth stating plainly, because most websites cannot:

  • No cookies. This site sets none. That is why you have never seen a cookie banner here.
  • No analytics. No Google Analytics, no heatmaps, no session recording.
  • No advertising pixels. Nothing from Meta, Google Ads, or anyone else follows you off this site.
  • No third-party fonts or embeds. Fonts and images are served from our own domain, so no outside company sees your visit.

If that changes — if we start advertising, for instance — this page changes first, and you will see a cookie notice before anything is set.

What we use it for

  • Preparing and sending your written estimate.
  • Contacting you to confirm details, schedule the move, and follow up afterwards.
  • Carrying out the move itself: giving the crew the addresses, access notes and inventory they need.
  • Keeping the records a licensed and insured mover is required to keep, including for insurance claims.

We do not sell your details, rent them, or share them with other movers, lead brokers, or advertisers. If you found us through a lead site, that is a relationship you have with them, not one we control.

Who else sees it

Only the companies that make the website and our office work, and only the part each needs:

  • Our website host, which serves these pages and keeps the server logs described above.
  • Our form provider, which delivers quote submissions to our inbox.
  • Our email provider, which carries the messages between us.

Each is bound to handle your details only on our instructions. If a claim or a legal obligation requires it, we may also share records with our insurer or with authorities — but only what is actually required.

How long we keep it

Quote requests that never become bookings are deleted once they are clearly stale. Records for completed moves are kept as long as accounting, tax and insurance rules require, then deleted. If you ask us to delete your details sooner and there is no legal reason to keep them, we will.

Your choices

Email hello@heartlinemoving.com and ask us to:

  • Send you a copy of what we hold about you.
  • Correct anything that is wrong.
  • Delete your details.
  • Stop contacting you, or contact you only by email, or only by phone.

We will reply within 30 days. There is no charge, and asking will not affect a booking you already have with us.

Children

This site is for people arranging a move. We do not knowingly collect details from anyone under 13. If you believe a child has sent us information, email us and we will delete it.

Security

The site is served over HTTPS, so what you type into the quote form is encrypted in transit. Access to submissions is limited to the people who handle quotes and bookings. No system is perfect; if a breach ever affected your details, we would tell you.

Changes

If this policy changes, the effective date at the top changes with it. Material changes — new tracking, new categories of data, a new reason for using it — will be flagged on the site rather than slipped in quietly.
